Assistant Manager: Procurement & Contracts

General Information

Role: Assistant Manager Procurement & Contracts

Reporting To: Lead P&C

Business Function: Others

Role Purpose

The purpose of this role is to support in procurement of goods and services within the defined parameters of time, cost, quality and technical specifications as specified by the pertinent internal functions and according to the rules and processes laid out from time to time. Maintaining relevant documentation & database.

Key Responsibilities:

  • Procurement & Contract Management: 90% weightage.
  • o Assist Lead Procurement and Contracts in preparation of Tender documents in close coordination with user department

    o Capture key expectations of user departments form Procurement & Contracts and provide efficient service and support to them.

    o Capturing pre-bid queries and coordinating with user departments for their replies and hosting the same on the website.

    o Provide inputs to Lead Procurement and Contracts in entire tender process including processing of bids, preparation of comparative statements, drafting tender committee recommendations and issuing purchase orders including documentation.

    o Follow-up with vendors for timely delivery and closure of contracts and ensure processing of payments to vendors as per timelines

    o Help in preparation of comprehensive database with department wise information about each vendor/ contractor (name of party, category of products/ services supplied, price/ quality/ delivery, payment terms and conditions, etc.) and keep it updated based on ongoing performance of the vendors / contractors

    o Streamlining the post award activities like submission of PBG, returning of EMD and processing of invoices

    Reporting & MIS: 10% weightage

  • o Ensure timely preparation of MIS and Status Updates for circulation to the Top Management and other authorities as may be required.

  • Job Specifications

    Qualification Required: Degree in Engineering Preferably in (IT , ECS,)

    Experience Required: 2+ years

    Nature of Experience: 2+ Experience in Procurement and contracts function in e-Governance Services and IT Consultancy services Companies.

    Experience should be in tender preparation and evaluations of bids including vendor management.

    Preference given to candidates having Understanding of procurement process followed in Government organizations / PSU’s

    Knowledge of statutory compliances applicable to procurement function
